Please read the following terms and conditions, and complete the Client Tuition Agreement form to show you have read and understood these T&Cs.
1.0 Definitions
Phys Ed Tutoring: A business owned by Andy Wrathall.
Client: The party requesting Tuition. This is assumed to be the individual who contacts Phys Ed Tutoring, unless otherwise stated.
Session: A period of time during which the Phys Ed Tutoring has provided a Tutor to deliver tuition for the Client, for which the Client pays the business.
Tuition Fee: Amount charged for a tuition Session, inclusive of planning, delivery & email support.
2.0 About Phys Ed Tutoring
2.1 Phys ED Tutoring is a tuition organisation that provides bespoke tuition in Physical Education at GCSE and A level.
2.2 Phys Ed Tutoring is a tuition business managed by Founder, Andy Wrathall.
2.3 Phys Ed Tutoring is responsible for providing the tuition provision to the client.
2.4 Phys Ed Tutoring holds an agreement with Terms and Conditions with the client.
3.0 Certification, Qualifications & Memberships
3.1 Phys Ed Tutoring Tutor has Enhanced Disclosure Barring Service (DBS) certification. Andy Wrathall holds Qualified Teacher Status (QTS), teaching union membership (NASUWT), is PGCE, MSc & BSc (Hons) qualified, and is an AQA NEA Moderator (Team Leader).
3.2 Phys Ed Tutoring is a corporate member of The Tutor’s Association.
4.0 Tuition Sessions
4.1 Tuition sessions (TS) are bespoke to the learning needs of the student. TSs are planned and resourced specifically to enable students to achieve their learning goals, build their confidence and reach their potential.
4.2 An initial, no obligation TS is set up prior to regular tuition being arranged. This session is tailored to the student school year, qualification, subject and any specific learning needs.
4.3 Tuition sessions are 50 minutes in length.
4.4 Individual feedback is given during TSs and via email.
4.5 Tutor sessions are currently delivered via Google Meet, to which the client is sent the joining information via email at least 24 hours prior to their confirmed TS.
4.6 It is the client’s responsibility to set up the online platform safely and securely at home for their child.
4.7 Safeguarding: Phys Ed Tutoring follow the Child Protection Policy of The Tutor’s Association (TTA); the welfare of students is paramount. The tutor attends safeguarding training and regular annual update training.
4.8 Data: Phys Ed Tutoring collect and hold personal information relating to students. This personal data is only held to support learning and monitor and report on progress. This information can include contact details, learning stage, assessment targets and results, attendance of tutor session, any special educational and disability needs and any relevant medical information.
4.9 Recording: Tuition sessions are recorded and are kept on a secure password-controlled network. The purpose of recording sessions is three-fold: (i) Safeguarding – recordings can be referred in the case of a concern, (ii) Quality Assurance, enabling the Principal Tutor to observe and monitor tuition, (iii) Student catch up: links can be requested for students to help review their learning. Recordings are securely stored and deleted within a 30 day period.
5.0 Tutor and Client relationship
5.1 Clients are provided with an About me profile of the tutor that provides their first name, experience, training, qualifications and relevant affiliations.
5.2 No personal information, such as address, or personal email address are shared with clients.
5.3 Phys Ed Tutoring holds GDPR compliant data regarding the clients and tutor, necessary for effective communication and safeguarding purposes.
5.4 The predominate method of client and tutor communication is professional email via physedtutoring@gmail.com.
5.5 The Tutor will communicate TS invitations via email prior to agreed dates.
5.6 The Client must make any required changes to tuition sessions via physedtutoring@gmail.com and not directly with the tutor.
6.0 Tuition Fees, Bookings & Payment
6.1 For the most beneficial learning outcomes a dedicated time period for tutoring is advised.
6.2 Communication to arrange tuition with Phys Ed Tutoring can be made via email (physedtutoring@gmail.com).
6.3 Tuition is booked with dates & times confirmed and tuition fees paid in advance.
6.4 Tuition Fees are emailed directly to the client and are dependent upon Key Stage and type of tuition.
6.5 Tuition Type can be 1:1, paired or small group. These options attract different tuition fees.
6.6 Phys Ed Tutoring cannot guarantee that a student will attain their desired grade in external examinations (GCSE/ A Level) as there are multiple external factors to consider but will make every effort and professional judgement to embed good practice for revision and exam technique in addition to subject content.
7.0 Amend, Cancel or Terminate tuition
We u to provide flexibility and understand family arrangements can change and we kindly require the following notice.
7.1 If a confirmed tuition session needs to be amended, we will primarily endeavour to find an alternative time slot the same week. This requires 1 week notice (7 days).
7.2 If a confirmed tuition session needs to be cancelled more than 1 week (7 day) notice period is required. No fees are payable, and no re-arrangement of the session is necessary. These terms apply to a maximum of three, term time session cancellations in any one academic year.
7.4 If a client gives notice of less than 24 hours to amend a session, then 100% of the fees will be payable (from advance payment).
7.5 If a student is unable to attend their booked session with more than 48-hour notice period but less than 7 days notice and it is not possible to re-arrange the session, then 50% of the payment of fees is payable.
7.6 Booking of sessions for school holidays - Phys Ed Tutoring will ask the client if they would like a regular tuition session timeslot within school holidays. Additional dates and events may be available in school holidays. Booking will be on a first come, first served basis.
7.7 A 1 week (7 day) notice period with written confirmation is required to serve notice that a student will no longer require further tuition sessions.
7.8 Ad hoc tuition during exam time - a client may book ad hoc tuition, dependent upon availability within an exam period at the same tuition fee as previoulsy booked.

Please complete this , to which the client agrees terms and conditions. Client Tuition Agreement form In the event of the electronic form not being completed and submitted but the student attends regular tuition, these terms and conditions are agreed by default.

Phys Ed Tutoring is committed to providing a high standard of safeguarding and has the following policy in place to keep children safe and respond to child protection concerns. There are two main overarching goals to maintain that:
children have the right to be protected from harm and
the safety and wellbeing of children is paramount.
The purpose of this policy statement is:
to protect children and young people who receive Phys Ed Tutoring tuition services from harm. This includes the children of adults who use our services.
to provide tutors, as well as children and young people and their families, with the overarching principles that guide our approach to child protection.
This policy applies to anyone working on behalf of Phys Ed Tutoring.
This policy has been drawn up on the basis of legislation, policy and guidance that seeks to protect children in England. This policy is based on the Department for Education’s (DfE’s) statutory guidance (keeping-children-safe-in-education) . A summary of the key legislation and guidance is available from NSPCC.

making sure that children, young people and their families know where to go for help if they have a concern

building a safeguarding culture where staff, children, young people and their families, treat each other with respect and are comfortable about sharing concerns.
Safeguarding and promoting the welfare of children is everyone’s responsibility. Everyone who comes into contact with children and their families has a role to play. In order to fulfil this responsibility effectively, all practitioners should make sure their approach is child centred. This means that they should consider, at all times, what is in the best interests of the child.
All Phys Ed Tutoring staff have access to Part one: Safeguarding information for all staff of KCSIE with compulsory annual training conducted & monitored with regular training opportunities highlighted.
The DSL holds a Level 2 qualification in Safeguarding and is working through more advanced related training.
DSL and staff have an open communication regarding safeguarding at all times.
Tutor induction includes a mandatory safeguarding module with opportunities for discussion and responses to possible scenarios and explanation of procedures.
Phys Ed Tutoring believes that training and raising awareness of safeguarding issues, policies and procedures is fundamental to the development and maintenance of a safer environment, safer organisation and safer tutors.
Phys Ed Tutoring ensures that appropriate safeguarding training is provided to all tutors to assist them in: recognising abuse, preventing abuse, recording concerns, responding appropriately to allegations of abuse, knowing who to tell, and when information can be shared.
Reporting
It is paramount that any safeguarding concern is effectively communicated to Phys Ed Tutoring’s DSL so we can investigate fully. All Safeguarding concerns will be investigated within 24 hours of receiving information.
To help Phys Ed Tutoring to respond and refer appropriately the following guidance should be followed:
Reported information should be objective and detailed.
Alert the DSL as soon as possible. It can take several hours to deal with even urgent concerns and the earlier we start the better
The DSL will deal appropriately and promptly with all allegations or concerns and refer all safeguarding concerns in accordance with local safeguarding procedures and practical guidance, in accordance with the statutory guidance Working Together to Safeguard Children, 2018.
Immediate suspension (without prejudice) will be considered if a safeguarding allegation is made against any staff member or tutor pending investigation when there is cause to suspect that another child(ren) is/are at risk of harm from their continued contact with children. Refer to KCSIE 2022, Part 4: 379.
Suspension will also be considered even if the allegation is not linked to their role or tuition activity.
Disclosure
Once a disclosure has been made or a concern has been shared, the DSL will consider the information, if necessary, taking advice, and will make a decision to either:
Keep detailed records of the concern with no further action at this time
Make a child protection referral to Children’s Social Care
Report any concerns about unsafe practice by any of its directors, staff or tutors to the Disclosure and Barring Service (DBS)
Emergency Responses
Where a child is identified at immediate risk of harm then the tutor will immediately contact the DSL who will in turn contact the Police for the areas where the risk is located using 999.
This safeguarding policy shall be reviewed every 2 years or whenever there is a major change in the organisation or in relevant legislation.

We do not collect any Sensitive Data about you. We do not collect any information about criminal convictions and offences.
Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract (for example, to deliver goods or services to you). If you don’t provide us with the requested data, we may have to cancel a product or service you have ordered but if we do, we will notify you at the time.
